Swan Lodge Booking Terms & Conditions

1. Booking & Payment

  • A £25 deposit per room is required to confirm your booking.
  • The deposit is non-refundable.
  • The remaining balance can be paid online or in person on arrival unless otherwise agreed.
  • By making a booking, you confirm that you have read and agreed to these terms.

2. Cancellation Policy

  • Cancellations can be made at any time, but the deposit is non-refundable.
  • If you cancel with less than 24 hours’ notice, the full booking amount will be charged.
  • No-shows will also be charged the full amount.
  • Any cancellation or change to your booking must be confirmed via email or phone.

3. Check-In / Check-Out

  • Check-in: 3:00 PM – 9:00 PM
  • Late check-in may be available by prior arrangement only.
  • Check-out: by 10:30 AM
  • Late check-out may be available with prior agreement and may incur an additional charge.

4. Room Occupancy

  • Each room accommodates 1 to 2 adults, which can include children as long as they are accompanied by an adult at all times.
  • Single occupancy: £110 with breakfast / £100 without
  • Double occupancy: £120 with breakfast / £110 without
  • No unregistered guests are permitted to stay overnight.

5. Guest Responsibilities

  • Guests are expected to behave respectfully towards staff, other guests, and the property.
  • Any damage or excessive mess may result in additional charges.
  • Smoking or vaping is strictly prohibited inside rooms. Charges apply for cleaning if rules are broken.

6. Pets

  • Well-behaved dogs are welcome with prior notice – £5 per stay.
  • Dogs must not be left alone in rooms and must remain under control at all times.
  • Owners are fully responsible for any mess or damage caused by pets.

7. Accessibility

  • Due to the age of the building, not all rooms are suitable for guests with limited mobility.
  • Please contact us before booking if you have accessibility needs.

8. Parking

  • Free guest parking is available in the designated car park.
  • Vehicles are left at the owner’s risk. We accept no liability for loss or damage.

9. Breakfast

  • Served daily from 7:30 AM – 9:00 AM.
  • Dietary requirements must be stated at least 24 hours before check-in.
  • Please notify us when booking by emailing [email protected] or calling 01305 871249.
  • We cannot guarantee specific dietary needs can be met without prior notice.

10. Liability

  • Swan Lodge accepts no responsibility for loss, damage, or injury to persons or personal belongings during your stay.
  • Guests use all facilities and the premises at their own risk.

11. Complaints

  • If something isn’t right, please speak to a member of staff during your stay so we can resolve it promptly.
  • Complaints raised after departure may not be considered unless exceptional circumstances apply.

12. Force Majeure

  • We are not liable for failure to fulfil bookings due to events beyond our control, including but not limited to natural disasters, extreme weather, power outages, or public health incidents.

13. Data Protection & Privacy

  • We only collect the personal data necessary to manage your booking and stay.
  • This may include your name, contact details, booking history, and any dietary or access requirements.
  • Your data is stored securely and never shared with third parties for marketing.
  • We comply with UK GDPR and Data Protection Act requirements.
  • You can request to see, update, or delete your data at any time by contacting us.

14. Bonus Clause (The Fine Print)

  • In extremely rare and highly suspicious circumstances, you may be politely roped into doing the washing up during an emergency evening shift at The Swan Inn. Aprons provided. No experience required. Bragging rights optional.
